Scope

This notice applies to the Olympia Heights Elementary School public website, its contact-request form, and its website content-management system. District portals, linked services, and third-party websites may have separate privacy notices. Miami-Dade County Public Schools policies and applicable law control where they impose additional requirements.

Information we collect

  • Information you choose to provide through the contact form, such as your name, role, email, phone number, student details, message, and attachments
  • Request-management information created by authorized staff, including status, priority, and internal follow-up notes
  • Limited technical and security information, such as IP address, request time, browser data, and activity needed for rate limiting, troubleshooting, auditing, and protection against misuse
  • Administrator account and session information for authorized website editors

Anonymous contact requests do not require a name, email address, or phone number. Do not submit Social Security numbers, financial data, passwords, medical records, or other information that is not needed to explain your request.

How information is used

Information is used for educational and school-operational purposes: responding to questions or concerns, routing requests, protecting safety, maintaining website content, securing the service, meeting legal obligations, and improving access. Student information is not used for commercial advertising, and this website does not sell, rent, or trade personal information.

When information may be shared

Information may be shared with authorized school or district staff who need it to address the request; service providers operating under appropriate safeguards; or public-safety and legal authorities when required by law, court order, public-records requirements, or a credible safety concern. Student education records are handled under the Family Educational Rights and Privacy Act (FERPA) and applicable Florida law.

Storage, security, and retention

Contact requests are stored in the protected website database. Attachments are kept outside the public file area and require an authenticated administrator session to download. We use access controls, server-side validation, upload restrictions, rate limits, audit records, and backups to reduce risk. No system can guarantee absolute security. Records are retained only as needed for school operations and as required by district schedules, Florida public records law, and other legal obligations.

Cookies, analytics, and external links

The public website does not require an advertising profile. A secure session cookie is used when an authorized editor signs in to the CMS. If school-approved analytics or search services are enabled, this notice will be updated to identify them and describe available choices. Links to external websites are governed by those websites’ privacy and security practices.

Your choices and questions

You may submit a contact request anonymously, omit optional fields, or contact the school to ask about access, correction, or deletion where permitted by law. Some records cannot be deleted when retention or public-records requirements apply. For student education-record rights, contact the school or the appropriate M-DCPS office.
